What it does
The Send for Approval step works identically to the Send Email step, except the email is not sent immediately. Instead, it’s queued for manual review. An approver (you or a teammate) reviews the drafted email and either approves it (which sends it) or rejects it (which discards it). When to use it
- Invoices or payment emails that a finance manager should review before delivery
- Partner communications that require sign-off from a manager
- New affiliates where you want to personally check the first automated email
- Any situation where “set it and forget it” feels too risky
How Approval Works
- The automation runs and builds the draft email (with all variables substituted)
- Instead of sending, the email is placed in the Approval Queue
- You (or a designated approver) receives a notification
- The approver goes to the approval page, reads the drafted email, and clicks Approve or Reject
- Approved emails are sent immediately; rejected ones are discarded with a note
Configuration
Configuration is identical to the Send Email step:- Send From — which email account to use for sending (after approval)
- Recipients — who the email goes to once approved
- Subject — supports variables
- Body — full HTML editor with variable insertion
- Template — optionally load from a saved email template
- Invoice Attachment — optionally attach a generated invoice PDF
Reviewing Pending Approvals
Pending approvals appear in the Runs & Logs section, under the specific automation run. Click the pending item to:- Preview the full email (subject, body, recipients, any attachments)
- Click Approve to send immediately
- Click Reject to discard and leave a rejection reason
Approved emails use the same email account and recipients configured in the step — no changes can be made at approval time. If you want to modify the content before sending, reject it, edit the automation, and run again.
